Personal data means all data that personally relate to you, e.g., name, address, e-mail address(es), user behavior. 3    Your rights

You have the following rights with respect to personal data that relate to you:

3.1    General rights

You have a right to information, rectification, erasure, restriction of processing, objection to processing and data transferability. If processing is based on your consent, you have the right to revoke this consent with future effect.

3.2    Data processing rights based on legitimate interests

Pursuant to Article 21 Paragraph 1 of the GDPR, you have the right to object against the processing of personal data that relate to you that takes place on the basis of Article 6 Paragraph 1 e of the GDPR (data processing in the public interest) or based on Article 6 Paragraph 1 f of the GDPR (data processing for the purposes of legitimate interests); this also applies to profiling supported by this provision. If you object, we will no longer process your personal data unless we can prove compelling grounds for processing that outweigh your interests, rights, and freedoms, or if processing serves to assert, exercise, or defend legal claims.

3.3    Rights for direct advertising

If we process your personal data to directly advertise to you, you have the right to object to the processing of the personal data that relates to you for the purposes of such advertising at any time, pursuant to Article 21 Paragraph 2 of the GDPR; this also applies to profiling if it relates to such direct advertising.

If you object to processing for the purposes of direct advertising, we will no longer use your personal data for these purposes.

3.4    Right to complain to a supervisory authority

You also have the right to complain to a responsible data protection supervisory authority about us processing your personal data.

4    Collecting personal data when you visit our website

When simply using the website for informational purposes, i.e., if you don’t register or send us information in another way, we only collect personal data that your browser sends to our server. If you want to view our website, we collect the following data that are required for technical reasons in order for us to display our website and guarantee its stability and safety. The legal basis for this is Article 6 Paragraph 1 f of the GDPR:

IP address, date and time of request, time zone difference to Greenwich Mean Time (GMT), content of the request (specific page), access status/HTTP status code, respective volume of data transmitted, website that the request has come from, browser, operating system, and the interface, language, and version of browser software.

These data cannot be used by us to identify the individual user. This information is only evaluated by us in an anonymized way for statistical purposes.

5    Contacting us by e-mail or via the contact form

When you contact us by e-mail or via the contact form, we store data you have shared to respond to your question or issue. If we ask for information via our contact form that is not required in order for you to get in touch, we mark this as optional. This information is used to clearly define your request and to improve how your concern is processed. This information is explicitly provided on a voluntary basis and with your consent; Article 6 Paragraph 1 a of the GDPR. If this information relates to channels of communication (for example, e-mail address, phone number), you are also agreeing that we may contact you via these channels of communication where necessary in order to respond to your concern. You can of course withdraw this consent with future effect at any time.

We delete such data when they no longer need to be saved, or we restrict their processing if legal retention periods apply.

6    Use of the job portal

The job portal on our website can be used with or without registration.

6.1    Use without registration

For use without registration, we have set up our so-called JobAgent for you. This system records and saves your search behaviour and search criteria in order to send you appropriate job advertisements by email.

We use the so-called double opt-in process for registration for these JobAgent emails. This means that, once you have provided us with your email address, we send you a confirmation email to that email address in which we ask you to confirm that you want us to send the JobAgent emails. If you do not confirm within 24 hours, your registration is deleted automatically. If you confirm your request on receipt of the JobAgent email, we store your email address until you cancel the JobAgent emails. Storing this information serves the sole purpose of allowing us to send you emails from our JobAgent system with new job advertisements that are suitable for you. In addition, we store your IP addresses and the times when you register and when you confirm, in order to prevent misuse of your personal data.

You can withdraw your consent to receive the JobAgent emails at any time. You can cancel by clicking on the link provided in every email, by sending an email (to info@psychjob.eu) or by notifying the Data Protection Officer. The data you provide will not be passed on to third parties.

We wish to point out that, in the process of sending the JobAgent emails, we evaluate your user behaviour. For the purpose of this evaluation, the emails sent include so-called web beacons, also known as tracking pixels. These are one-pixel image files that link to our website and thus enable us to evaluate your user behaviour. This is done by surveying web beacons that are associated with your email address and with an individual ID. The links in the JobAgent emails also contain these.

With the data acquired in this way, we create a user profile so that we can provide you with JobAgent emails that are tailored to your interests. In doing so we record when you read your emails and which links in them you click on, and from this we draw conclusions about your personal interests. We link this data with actions you carry out on our website.

We save the information collected in this way on a server in Germany. You can object to this tracking at any time by clicking on the separate link provided in every email or by notifying us using any of the contact methods mentioned above. Tracking of this sort is also impossible if you have deactivated images as the default in your email programme. In this case, however, the JobAgent email will not be displayed to you completely and you may not be able to use all of the functions. If you activate the images manually, the tracking described above will take place.

6.2    Use with registration

Alternatively, you can also register on our job portal and create a personal PsychJOB profile. In the first stage of registration, in which a “Login profile” is created for you, we collect and store the following data about you:

  • First name
  • Surname
  • Account type
  • Email
  • Password 

After this first stage of registration, you are given personal, password-protected access details and you can view and manage the data you have saved. On completion of this registration stage, you are also registered to receive the JobAgent emails. The information that you provide at the first and second stage of registration is combined with the JobAgent information so that we can make tailor-made suggestions concerning job adverts.

We also use the so-called double opt-in process during registration. Likewise, when you are registered you can withdraw your consent to receive the JobAgent emails at any time. You can cancel by clicking on the link provided in every email, by sending an email (to info@psychjob.eu) or by notifying the Data Protection Officer. The data you provide will not be passed on to third parties.

At the second stage of registration, an “applicant profile” is created for you. This is required for an application process through our portal. In order to create this profile for you, we also collect the following data:

  • First name
  • Surname
  • Place of residence
  • Preferred job title
  • Professional field
  • Type of employment required (e.g. full time, part time, etc.)
  • Current career status (e.g. actively looking for a job, in training, etc.)

In addition to this mandatory information for complete registration, other information can be provided voluntarily. This also includes the option to upload an application photo and to integrate it into your PsychJOB profile. The fields with mandatory information are marked accordingly.

You can also provide us with all of the information required for a complete PsychJOB profile or that you want to give us voluntarily by uploading your application documents. The uploaded documents are sent for evaluation via a secure https call to Textkernel (Nieuwendammerkade 28A17, Amsterdam, Noord-Holland 1022 AB, Netherlands), where they are parsed and sent back to us as an XML file. The Textkernel tool only extracts the following information and stores it temporarily on a server in Amsterdam:

  • First name, 
  • Surname, 
  • Town/city, 
  • Country, 
  • Telephone number, 
  • Profile photo 
  • Gender, 
  • Date of birth, 
  • CV, 
  • Title, 
  • Academic title, 
  • Education, 
  • Professional experience, 
  • Language skills, 
  • Skills.

Following processing and return (in just a few seconds), the data is deleted automatically. For technical reasons, we cannot guarantee that the information in your documents will be transferred completely and accurately. We therefore ask you to check the data that has been recognised and transferred after it has been uploaded.

7    Data transfer

If you use our portal purely for information purposes, your data will not be transferred to third parties unless we are legally obliged to do so, data transfer is required to execute the contractual relationship, or you have previously given your express consent for transfer of your data.

Within your PsychJOB profile, you can decide whether your profile should be visible to potential employers or not.

If you choose the “visible” option, potential employers can find and view an anonymised, short profile of you. Your profile can also be suggested to potential employers in anonymised form via a so-called matching algorithm. The legal basis for this is your consent, Article 6 Paragraph 1 of the GDPR. You can revoke your consent at any time by deselecting the “visible” option.

Your anonymised short profile includes all of the information provided by you, apart from the following personal data:

  • First name, Surname
  • Location
  • Photo
  • Thelephone number
  • Any file attachements

If a potential employer is interested in your profile, a contact request can be sent to you through our portal. Only when you accept this does the potential employer have full access to your PsychJOB profile and the data that you have sent to us.

Alternatively, you can choose the “Not visible” option. In this case, potential employers can neither find nor view your PsychJOB profile, even as an anonymised, short profile.

Whatever option you choose, you can apply to potential employers directly via our portal. In this case, your full PsychJOB profile is directly visible to the employer in question.

The legal basis for transferring data to potential employer is your consent, Article 6 Paragraph 1 a of the GDPR.

If our service providers come into contact with your personal data, we ensure that they comply with the provisions of data protection laws to the same extent that we do, as part of contract processing pursuant to Article 28 of the GDPR. Please also take note of each provider’s privacy policy. The respective service provider is responsible for the content of third-party services, whereby we review the services for compliance with legal requirements, where this is reasonable.

8    Application history

If you have applied to a potential employer through our job portal and/or you have accepted a contact request from an employer, our system creates an application history for you. This allows you to view all of your previous applications in detail. This data is not sent to potential employers.

9    Social Plugins

We use social plugins from the bookmarking service ShareThis Inc., 250 Cambridge Avenue, Palo Alto, CA 94306, USA. These plugins enable you to set bookmarks and share the associated content on social networks.

When you use one of the functions of ShareThis while you are simultaneously logged in to one of the relevant social networks, the visit to our website can be associated with your user account there. ShareThis itself does not receive any personal data from you but carries out an anonymised statistical analysis of the content shared. This data is erased regularly. Further information about data collection, evaluation and processing of your data by ShareThis and your associated rights can be found in the data protection policy of ShareThis at http://sharethis.com/privacy-manifesto.

If you do not want your visit to our website to be associated with your user account on the relevant social networks or social bookmarking services, we advise you not to use the corresponding fields of ShareThis on our website.

10    Using cookies

Cookies are stored on your machine when you use our website. Cookies are small text files that are stored on your hard drive, assigned to the browser you are using, and used to send specific information to the party that has placed the cookie on your machine. Cookies cannot run any programs or place any viruses on your computer. They are used to make the website more user-friendly and effective overall. We also use cookies to be able to identify you when you visit us again if you have an account with us. Otherwise, you are required to log in again each time you visit..

This website uses the following types of cookies, the extent and functionality of which are outlined below:

10.1    Transient cookies

These cookies are automatically deleted when you close your browser. This particularly includes session cookies. These store a "session ID," which is used to assign requests from your browser to the overall session. This means that your machine can be recognized when you return to our website. Session cookies are deleted when you log out or close your browser.

10.2    Persistent cookies

These cookies are automatically deleted after a set period of time that the cookie can distinguish between. You can delete cookies at any time through your browser’s security settings.

10.3    Preventing cookies

You can configure your browser settings based on your requirements and can reject third-party cookies, or all cookies, from being accepted. Please note this may mean you are unable to use all of the functions of this website.

10.4    Legal bases and retention period

The legal bases for any potential processing of personal data and the retention period vary and are outlined in the following sections.

11    Website analysis: Google Analytics

Insofar as you have given your consent, Google Analytics, a web analytics service provided by Google LLC, is used on this website. The responsible service provider in the EU is Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland. („Google“).

11.1    Scope of processing
Google Analytics uses cookies that enable an analysis of your use of our website. The information collected by means of the cookies about your use of this website is usually transferred to a Google server in the USA and stored there.

We use the function ‘anonymizeIP’ (so-called IP masking): Due to the activation of IP anonymization on this website, your IP address will be shortened by Google within member states of the European Union or in other contracting states of the Agreement on the European Economic Area. Only in exceptional cases will the full IP address be transmitted to a Google server in the USA and shortened there. The IP address transmitted by your browser as part of Google Analytics will not be merged with other data from Google.

During your visit to the website, the following data, among others, is collected:

  • the pages you have accessed, your „click path“
  • achievement of „website goals“ (conversions, e.g. newsletter sign-ups, downloads, purchases).
  • your user behavior (for example, clicks, dwell time, bounce rates)
  • your approximate location (region)
  • your IP address (in shortened form)
  • technical information about your browser and the end devices you use (e.g. language setting, screen resolution)
  • your Internet provider
  • the referrer URL (via which website/advertising medium you came to this website)

11.2    Processing purposes
On behalf of the operator of this website, Google will use this information for the purpose of evaluating your (pseudonymous) use of the website and compiling reports on website activity. The reports provided by Google Analytics are used to analyze the performance of our website.

11.3    Recipient
The recipient of the data is Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland as a processor. We have concluded an order processing agreement with Google for this purpose. Google LLC, based in California, USA, and possibly US authorities may access the data stored by Google.

11.4    Transfer to third countries
A transfer of data to the USA cannot be ruled out.

11.5    Storage duration
The data sent by us and linked to cookies are automatically deleted after 14 months. The deletion of data whose retention period has been reached occurs automatically once a month.

In addition, you can prevent the collection of data generated by the cookie and related to your use of the website (including your IP address) to Google and the processing of this data by Google by clicking

a. do not give your consent to the setting of the cookie or
b.download and install the browser add-on to disable Google Analytics HERE.

You can also prevent the storage of cookies by configuring your browser software accordingly. However, if you configure your browser to refuse all cookies, you may experience limitations in functionality on this and other websites.

11.6    Legal basis and revocation option

12    Advertising

We are using cooking for marketing purposes to address user with interest-based advertisement. In addition, cookies are used to limit possible ad displays and to measure our advertising activity efficiencies. These information can be shared with third parties, e.g. ad-networks. The legal basis for this is Article 6 Paragraph 1 a of the GDPR. The pursued goal of data processing is the interest in direct marketing. You are entitled to object against data processing with the purpose of such advertising at any time. You will find below opt-out-possibilities of the relevant services. Alternatively, you can prevent cookies from being set in your browser settings.

12.1    Google DoubleClick

We use DoubleClick, a service of Google Inc. DoubleClick uses cookies to place user-based advertising. The cookies recognise which advertisements have already appeared in your browser and whether you accessed a website via an advertisement. The cookies do not collect any personal information in this process and cannot be associated with that type of information.

If you do not wish to receive any user-based advertising, you can deactivate placement of advertisements by using the advertising settings in Google.
